When "I'll pay Friday" actually means Friday: promise-to-pay tracking

"I'll sort it Friday." Every business owner has heard it a hundred times. Half the time Friday comes and goes, and the invoice is still open the following month.

The Office Voice team

The promise-to-pay is the most common outcome of a collections call. And the most commonly dropped. The customer means it in the moment. But if no one is tracking the date, the promise evaporates, and re-chasing it means starting the whole awkward conversation over.

The difference is memory

When a customer commits to a date, Office Voice records it against that customer as a real promise-to-pay: the date, the amount, and the call it came from. Then it watches the clock:

  • Payment lands before the date: the promise is closed, no follow-up call, nobody chased for money they've paid.
  • The date passes unpaid: a gentle follow-up references the specific promise: "you'd mentioned sorting it Friday, just checking in."
  • A second promise: tracked too, and if the pattern repeats, it's flagged to you as an account that needs a firmer human conversation.

Hi Jenny, AI assistant here from Coastline Consulting on a recorded line. No stress at all, just following up. When we spoke last week you'd mentioned squaring away invoice 2210 by Friday. I wasn't able to see it come through, so I wanted to check everything's okay?

Customer

Oh right, yes, I'll do it today, I promise.

AI

No worries Jenny. I'll flick the payment link across again now so it's right there when you're ready. Thanks so much.

A follow-up that references the promise

Kind, but it doesn't forget

The tone stays warm every time, but the promise doesn't quietly disappear the way it does when a person is juggling forty accounts in their head.

Getting paid

Payday super quietly removed a cash buffer you were using without noticing

From 1 July 2026, super leaves on payday instead of quarterly. For labour-heavy businesses that is not a payroll change, it is a working capital change, and the only free way to absorb it is getting paid on time.

For practices

Not all overdue is overdue: split the ledger before you chase it

An aged receivables total is usually four different things wearing one number, and only one of them should ever get a chase call. Here's how to separate them.
